
The Sales & Tender Coordinator is responsible for managing the end-to-end tendering process, coordinating with sales teams, preparing bid documentation, tracking tender opportunities, and ensuring timely submission of proposals. The role requires strong organizational skills, attention to detail, and coordination with internal departments such as finance, logistics, and technical teams to support sales operations and achieve business targets.
Monitor tender portals (GeM, e-Procurement portals, government and private tenders) on a daily basis
Identify relevant tender opportunities aligned with company products and services
Prepare and submit tender documents, quotations, and compliance documentation
Ensure timely submission of bids before deadlines
Maintain tender records, documentation, and bid history
Coordinate with sales teams to collect pricing, product specifications, and technical details
Prepare quotations, proposals, and commercial offers
Track order status and update sales teams and customers
Maintain sales documentation and reports
Assist in achieving sales targets through operational support
Prepare technical and commercial bid documentation
Ensure compliance with tender requirements and company policies
Coordinate with finance for:
EMD / Tender Fees
Performance Bank Guarantee (PBG)
Billing and invoicing support
Communicate with customers regarding tender clarifications and documentation
Coordinate with vendors/suppliers for product details, pricing, and availability
Resolve issues related to order processing and tender submissions
Maintain tender pipeline and status reports
Generate sales and tender MIS reports
Track win/loss ratio and submission timelines
Knowledge of tendering process and documentation
Strong coordination and communication skills
Attention to detail and deadline management
Proficiency in MS Excel, Word, and email communication
Ability to work under pressure and manage multiple tenders simultaneously
Understanding of GeM portal and e-tendering systems
Graduate in Business Administration, Commerce, or related field
Diploma / Certification in Sales or Tender Management (preferred)
5+ years of experience in Sales Coordination or Tender Management
Experience handling government or corporate tenders preferred
Experience in IT / Electronics / Distribution industry is an advantage
Number of tenders submitted on time
Tender success / win rate
Accuracy of documentation
Response time to sales requests
Compliance with tender requirements
